1. About this page
This page is for people who use the ECN People app (Android and iOS) and the ECN People website, provided by Easy Connect Private Limited.
Your ECN People account is created by your employer, the company that uses ECN People for HR, attendance and payroll. Your employer decides what happens to your employee records, so a deletion request goes to your employer's HR team. They review it and must act on it within their response period — 30 days unless your company has set a different period.
2. Delete from the app
- Open the ECN People app and sign in.
- Tap the Me tab at the bottom of the screen.
- Scroll down and tap Request data deletion. (You can also reach it from Me → Privacy → Request data deletion.)
- Optionally write a reason, then tap Request data deletion.
- Confirm with Request data deletion when the app asks “Send the data deletion request?”.
The app shows a request number and the date you sent it. Open the same screen at any time to see whether the request is still with HR or has been decided. While a request is open you cannot send a second one; once it is decided you can send a new one.
3. Delete without the app
If you no longer have the app or cannot sign in, email us at info@easyconnectnetwork.com, preferably from the email address on your ECN People account. Please include:
- Your full name.
- The company you work or worked for.
- The email address or mobile number you use to sign in to ECN People, and your employee code if you know it.
Opens your email app with the subject “Delete my ECN People account”. Or write to info@easyconnectnetwork.com yourself.
We check that the request comes from the account holder, then pass it to your employer's HR team as a data deletion request, and reply to you by email. The same response period applies as for a request made in the app. We never ask for your password.
4. What is deleted
When HR approves the request, the following is deleted or anonymised straight away:
- Your sign-in account — it is switched off and its email address replaced, so it can never sign in again. Every signed-in session ends and the phones registered for notifications are removed.
- Your name — replaced with “Former employee” and your employee code.
- Your personal email, mobile number, home address and emergency contact.
- Your date of birth, gender and marital status.
- Your profile photo, every attendance selfie, and the location and network address recorded when you checked in.
- The bank details on your employee record (payslip copies keep only a masked account number).
- Personal documents in your document locker, such as ID proofs and certificates.
5. What is kept, and why
Indian law requires employers to keep some employment records even after a person asks for deletion. These are kept, tied to your employee code rather than your name, only for as long as the law requires:
| Record | Why it is kept | How long |
|---|---|---|
| Payslips and payroll runs | Income-tax Act (s.192, Rule 6F) and Companies Act (s.128) books of account | 8 years |
| PF, ESI, professional tax and TDS identifiers and contributions | EPF & MP Act, ESI Act and state professional-tax Acts — statutory returns must be reproducible | 8 years |
| Attendance days (totals) and the leave ledger | Muster roll and wage registers under the Code on Wages and the Shops & Establishments Acts | 3 years, or longer where state law says so |
| Employee code and dates of joining and exit | Needed to link the records above to one person during an inspection | As long as the records above |
| Statutory forms, contracts, signed policies and letters in the document locker | Signed employment documents and statutory forms | As long as your employer must keep them |
| A record that the deletion was carried out | Shows that your request was handled as the law requires | As long as your employer keeps its compliance records |
If HR refuses a request, for example because you still work there and the records are needed to pay you, they must tell you why.
6. How long it takes
| Step | Time |
|---|---|
| You send the request | HR is notified at once |
| HR decides | Within 30 days, or the response period your company has set |
| Deletion after approval | Immediately — the data in section 4 is deleted or anonymised as soon as HR approves |
| Backup copies | Not edited; they are removed when those backups expire on their normal schedule |
Even without a request, ECN People removes some data on a schedule your employer controls. By default attendance selfies are deleted after 90 days, check-in locations are removed after 365 days, and the personal details of people who have left are anonymised 3 years after their exit date.
7. Deleting a whole company account
If you are an administrator and want your company's whole ECN People workspace deleted, email info@easyconnectnetwork.com from an administrator's address. Before deletion you can ask us for an export of your data. Once deletion is confirmed nobody can sign in, and after a 30-day grace period (during which it can still be cancelled) all of the company's data is deleted. Easy Connect keeps only its own invoices and audit records, as tax law requires.
