Legal entity
Under HR settings › Company, add the company that employs your people — its registered name, not the trading one. Payslips, offer letters and statutory returns go out in this name, and payslips and TDS returns need its PAN and TAN.
Groups with more than one employing company can add a legal entity for each; payroll runs are per legal entity.
Work locations
Each location (office, plant, branch, school wing) has its own state, holiday calendar and attendance rules:
- Attendance tracked or not at that location.
- How people check in: geofence (phone inside a radius of the office), office network, anywhere, or a biometric machine — one or several.
- Selfie required on check-in, if you want one.
- The state, which decides professional tax, labour welfare fund and the state compliance calendar.
A geofence radius under about 30 metres is tighter than a phone's GPS can be trusted for; over 2 km covers half a town. The setup checks warn about both.
Holiday calendar
Under Holidays, create a calendar for the year and add your holidays. Mark a day as optional to make it a restricted holiday that staff pick from a quota (see Restricted holidays). Locations without their own calendar use the default one.
